Design one critical staffing workflow before you automate it.

In 7–10 business days, FZF turns one high-consequence staffing process into an implementation-ready control design: current state, failure points, owners, deadlines, exception paths, success metrics, and a fixed-price build plan.

Discuss a Workflow Design Sprint

A paid, fixed-scope engagement led by senior engineers with experience building business-critical workflow systems at MIT and Google.

The wrong workflow, automated faster, is still the wrong workflow.

Most staffing workflow failures begin before implementation: unclear ownership, invisible waiting states, unhandled exceptions, weak escalation rules, and missing evidence. The Workflow Design Sprint isolates the operational bottleneck and defines the control model before you commit implementation budget.

Staffing invoice delivery and reconciliation

Coordinated schedule imports, invoice matching, exception review, controlled customer delivery, automated reminders, and payment reconciliation. Production controls hold unsafe mismatches and prevent duplicate submissions.

Claims and safety operations workflow control

Claims and safety operations

Turn recurring injury reporting, OSHA compliance, and claims responsibilities into explicit states, owners, deadlines, evidence requirements, and escalation paths across multi-branch staffing operations.

Contractor onboarding and credentialing

Coordinate candidate intake, missing credential tracking, background screening, customer approvals, payroll activation, and audit-ready billing evidence across customer-specific operating rules.

What happens during the 7–10 business days

Days 1–2 — Frame one workflow and outcome

Align on the trigger, end state, business consequence, scope boundary, decision owner, and the evidence required to call the workflow complete.

Days 2–4 — Reconstruct the real current state

Use recent cases, operator interviews, system artifacts, handoffs, waiting states, workarounds, and exception paths—not the idealized SOP.

Days 5–7 — Design ownership and controls

Specify states, owners, deadlines, gates, evidence requirements, exception handling, escalation paths, and the decisions that must remain human.

Days 8–10 — Validate and price implementation

Pressure-test the future state with operators, define baseline metrics and an ROI hypothesis, then scope a first release with timeline, risks, and fixed price.

A decision pack your team can use—with or without FZF

You receive a concise executive pack plus editable working models. The output is designed to approve, challenge, budget, or implement—not to become another generic workshop deck.

#01

Executive Control Brief

A decision-ready summary of the business problem, target outcome, operational exposure, key findings, unresolved tradeoffs, and decisions required.

#02

Current-State Workflow Model

A trigger-to-closure model showing people, systems, handoffs, waiting states, decisions, evidence, exceptions, and workarounds.

#03

Failure and Exposure Register

Failure points ranked by consequence, frequency, detectability, root cause, and current owner—so the team can see what deserves control first.

#04

Future-State Control Specification

The implementation-ready design for states, owners, deadlines, gates, exceptions, escalations, approvals, evidence, and human decision points.

#05

Metrics and ROI Baseline

KPI definitions, data sources, the current baseline or measurement plan, and expected impact stated as a testable hypothesis rather than a promise.

#06

Implementation Decision Pack

Recommended first release, system and integration boundaries, delivery risks, acceptance criteria, implementation timeline, and fixed price.

A clean commercial boundary

Fixed scope. Fixed fee. No implementation commitment.

The Workflow Design Sprint is a standalone paid engagement. The findings and working files belong to your team. You can implement with FZF, use an internal team, choose another vendor, or stop. If FZF implements the design, the proposal may credit an agreed portion of the sprint fee toward the build.

A premium answer requires real operating evidence—not a generic workshop.

What we need from your team

  1. One accountable sponsor
A 60-minute kickoff, rapid access to the right operators, timely decisions on scope, and a final executive readout.
  2. Two to four people closest to the work
Operators and managers who can explain recent real cases, exceptions, workarounds, and where responsibility becomes unclear.
  3. Recent cases and operating artifacts
A small, scoped sample of SOPs, forms, screenshots, reports, tickets, messages, or system events. Sensitive access is minimized and agreed upfront.

Workflow Design Sprint FAQ

Which workflow is a good fit?

Choose one recurring, high-consequence staffing process with several people or systems involved—especially where delays, missed deadlines, weak evidence, or exceptions create compliance, revenue, margin, or service risk.

Is the fit call the Workflow Design Sprint?

No. The 30-minute call confirms fit, scope shape, and whether a paid Workflow Design Sprint is the right next step. It does not include the analysis or deliverables from the paid sprint.

What exactly will we own?

Your team owns the findings and working files: the executive brief, current-state model, failure register, future-state control specification, metrics baseline, ROI hypothesis, and implementation decision pack.

How much time does our team need to provide?

Typically one sponsor kickoff, two to four focused operator interviews, short artifact reviews, one working validation session, and a final executive readout. Exact participation is confirmed in the fixed scope.

Does this replace our ATS, VMS, CRM, or payroll platform?

No. The sprint determines how a critical workflow should operate across your existing systems and where a focused control layer, integration, or process change is actually needed.

What happens after the sprint?

You can implement the design internally, use another partner, ask FZF for a fixed-price implementation proposal, or decide that implementation is not justified.

How is the fixed fee determined?

The fee is set before kickoff based on one workflow, the number of operator roles and systems involved, evidence availability, and the agreed interview and validation scope. There are no open-ended discovery hours.

Discuss One Workflow Design Sprint

30 minutes. We confirm whether one real staffing workflow is suitable for a paid 7–10-business-day Workflow Design Sprint. You will leave knowing whether the engagement fits; the fit call does not include sprint analysis or deliverables.
